Instructions for the application form

We kindly invite you to read these instructions carefully because if application forms are not well filled in, they may be rejected and not evaluated for the selection.

To fill in the application form, you have first to determine the Target Group you belong to (TG): Target Group 1 (TG1), Target Group 2 (TG2) or Target Group 3 (TG3). You will find here all of the information you may need concerning the types of mobility you may apply for, based on the relevant Target Group.

This application form is only in English and has been implemented by the University ofLund (Sweden).

Should you have any doubt on how to fill in any field, please refer to the help window by moving the mouse above the headline and you will find the translation.

Structure of the Application Form

The application form is divided into 4 steps:

  1. Registration: remember that you can ONLY register ONCE. If you register more than once and submit more than one form, the selection group will only take into account the first application you submitted.
  2. Filling in the application with the personal information required and applying for a course/programme.
  3. Submitting the documentation required.
  4. Closing the application form.

 

RECOMMENDATIONS:

 

STEP 1: REGISTRATION BASED ON DATA

Start by opening an account on this webpage.

It is very important that you register a VALID email address and make sure to keep it active, as some providers of free email accounts deactivate email accounts which have not been used for a specific time frame (usually some months). Hence, please kindly check this situation with your email account provider.

The registration form will require the following data:

  1. Name (“First Name”)
  2. Surname/Family Name (“Last Name”)
  3. Email address

Once the registration is completed, you will receive an email confirming that the application has been submitted from the following email account: This email address is being protected from spambots. Remember that the confirmation email containing the link to your application will be sent by email to the email address which you provided on the registration page. Should you not receive any confirmation email within 24 hours please open a new account with a different email address, provided by another email provider. Please be reminded that this is only a registration: you will be allowed to proceed with the application if you have received an email confirming that you have registered.

Step 1 completed:

Now you have created an account and the confirmation email contains your personal link to your application form.

 

Step 2. Personal Data and application for a Course/Programme

2.1: PERSONAL DATA

In the first confirmation email you received your personal link to your application form.
You can use this link to apply for maximum 2 universities/courses (or 2 courses in the same university). You just have to provide your personal data once.

Please remember that if you have any doubts concerning how to fill in some of the fields, you may look at the help window by putting the cursor (mouse) above the headline and you will find an explanation provided.

The fields highlighted in red are mandatory fields which need to be filled in.

This page of the application form contains your personal data.

You have to fill in 5 sections:

  1. Personal information (mandatory)
  2. Academic information (“Previous educational records”)
  3. References/Recommendations
  4. Miscellaneous
  5. Agreement

 

1. Personal Information

The fields of the section “Personal Data” are obligatory.

Passport:

If you do not have a passport please indicate your national identification number in any of the spaces with your ID number and its expiry date. If your passport has expired, you can fill in the field with its number and its expiry date anyway.

E-mail:

You will have to indicate only one valid email address. All the communication flow between the coordinating team and applicants will take place by email.

Language knowledge:

You will have to fill in this field with your language skills, indicating for each language the relevant level (basic, good, excellent) in writing, reading and speaking. Specifying the language level (should you not be mother tongue) is mandatory for the mobility flows you apply for.

Should the Academic Offer or the webpage dedicated to the European Host University / Central Asian Host University require it, you will have to attach a single file containing the language certificates for the languages mentioned in this field.

 

2. Academic Information (“Previous educational records”)

Data regarding the acquired or ongoing Education Level (and diploma) are mandatory. Please remember to indicate all the data concerning the levels of study required, according to the mobility you apply for.

You should fill in the following fields: name of the institution, address, start date, end date (expected end date if ongoing), qualification title (diploma, bachelor, master degree), field of study (choose from those which are available), 3 key field of studies and Average mark. A copy of your diploma and/or Transcript of Records must be attached.

 

3. References/recommendations

Reference persons indicated by the applicant in the online form could be contacted during the evaluation and selection of the candidates. Giving correct data for your reference person is therefore very important. The following information is mandatory: complete name, institution, email, address and phone number.

 

4. Miscellaneous

  • “Motivation Statement”

Please indicate here: your abilities and skills which make you the perfect candidate, the reason why you applied for this programme, your academic interests and job experience (if relevant). You can also answer to the question “How will you and your country benefit from your participation in this mobility programme?” (1000 characters max).

  • “Special Circumstances”

Candidates who can prove that they belong to disadvantaged groups for economic, social or physical reasons can obtain additional points during the evaluation (candidates belonging to TG1 and 2 and from any mobility level). Do you have any (personal/economic/cultural) difficulty? Are you a candidate belonging to a disadvantaged group? Why? Do you have any physical impairment or any learning disability? What documents will you send with the application for a scholarship to prove that?

Please specify now what documents you will send with the application to prove that (for example medical certificate, evidence that you are the beneficiary of a scholarship due to low financial means, etc.). This information will be treated confidentially (1000 characters max).

  • “Current Occupation”

If you are not registered as a student, a teacher or administrative staff of the home university

  • “How did you come to know about Erasmus Mundus?”

Please reply to the following questions: how did you come to know this Erasmus Mundus project?

  • “Target Group 3: please specify the details here according to the Help window”

(if you do not belong to Target Group 3, please write “no” in the mandatory field).

13 scholarships have been reserved for candidates belonging to Vulnerable groups: refugees, asylum beneficiaries, displaced people, stateless people, victims of discrimination/terrorism/conflicts. Why do you consider yourself a candidate of a vulnerable group? What documents will you submit to prove that?

Please specify now what documents you will send with the application to prove that (for example evidence from you are the beneficiary of a scholarship due to low financial means, etc.). This information will be treated confidentially (1000 characters max).

  • “Agreement”

Please check and tick the agreement box in order to submit your application.

“By submitting this application form, I solemnly declare that the information that I have given on this application is correct in all respects. I understand that supplying false information could lead to the disqualification of my application. I am truthful about my personal circumstances (such as family situation, military service, etc) and there are no impending situations which could lead to cancellations.

I have not received an EM Action 2 scholarship for the same purpose I am applying within this EM Action 2 project.

For non EU citizens (this does not apply to target group 3 and staff applicants): I have neither lived in Europe nor have I carried out my main activity (studies, work, etc) there for more than a total of 12 months during the last 5 years.

I allow partner Universities to use my submitted data for admission purposes only.

2.2 application for a Course/Programme

If the last step was successfully completed you should now be able to see a webpage starting with “Success

Information: your personal data were saved.

On this page you can select the type of mobility you want to apply for as well as your Target Group.

 

Start by SELECTING your Target Group:

1. Currently registered with a partner University = TG1

2. Other = TG2

3. Refugee = TG3

 

the TYPE OF MOBILITY:

Undergraduate = Bachelor/1st cycle degree

Master = 2nd cycle degree

PhD = Doctorate

Postdoc = Post Doctorate

Staff = Academic and administrative Staff

 

And the FIELD OF STUDY to see all the available mobilities:

Select your main subject of interest from the menu to obtain a scholarship.  The list which you will find corresponds to the Erasmus fields of study; the area of each programme is indicated in the relevant description sheet of the programme, on the first line of the box entitled: "EU code" (see the example). By selecting the correct area, you will be able to see all the study programmes on offer for this specific area. These latter are further classified through sub-codes. To select the right programme you only need to proceed as follows:

 

  1. Look into the list for the code which appears on "EU code" field of the relevant description sheet of the programme
  2. Look for the correct European/Central Asian university
  3. Look for the title which appears in the "Subject" field of the description sheet of the programme
  4. Look for the programme with the correct duration (if you have doubts, please check the duration in the “Detailed information” box)
  5. Please click “Add to the application” to add the type of mobility in your application. You can repeat this process with other themes until you reach the limit allowed (2 applications).

 

Should you need any help, please place the mouse (cursor) on top of the headline or click the information link in case you want to know the meaning of the Target Group and the type of mobility.

TIP: please check the academic offer here before beginning to fill in the application. In some cases you may get more information on the websites of the courses/programmes. Please remember that you only have to choose the programmes/courses which can relate to YOUR field of study (to your previous or ongoing diploma/title), and you must prove to be sufficiently fluent in the language required.

After that, select the online form for the programme you want to apply for, remember the CODE of your study area and the title indicated in the “subject” field (example: “14.2”, or “06.7”), as it will be the one shown in the format.

Under “Your applications”, at the bottom of the page, you will find a summary for the mobilities you are applying for. You can add, delete or move this information before submitting the form.

While the application is still open, you can go back and modify your requests and information as you prefer.

Do not forget to click “Continue” or “Submit Application” at the end of the page to send your application or your modifications.

  • when submitting the form you will receive a second confirmation email
  • the confirmation email will contain a link to your personal page.
  • you have to send all the documentation required to fulfill your application
  • only complete applications will be taken into consideration during the selection procedure

 

Step 2 completed:

Now you have sent your personal data and you have selected the Target Group, the Type of mobility, the Mobility Programme and the Host University. The second message will contain the link to your personal page where you can upload the documents required, modify the section entitled “Personal Information” and close the application.

 

Step 3. SENDING THE DOCUMENTS required

“You have already submitted your personal information. As long as the application is open you can change your personal information. To do that, click the button “Personal information”.”

You can apply for a new mobility if you have not reached the maximum of two applications yet. Click on “apply” to add a new mobility or to modify the actual application.

Below you can find a list of the applicable mobility flows, which you are applying for, in a priority order.

In order to complete your application, you will have to upload all the required documents. Click on “upload documents” to go to your personal page and upload your documents by using the menu below.

Please use the menu below to upload the documents required.

For further information on the documents required go up and put the arrow on the type of document, or go to our information page.

To upload the documents, click on the type of document required. All of the documents marked with a red dot shall be uploaded. The dot becomes green when the document is correctly submitted.

Max. dimension for each document: 3Mb

Accepted formats: JPG, PDF, PNG

 

Step 3 completed:

You have completed all the personal information and you are satisfied with the two mobility flows you are applying for.

You have uploaded all the documents required and all the “Document Type” are marked with a green dot.

 

Step 4. CLOSE THE APPLICATION

You will have to close your application(s) or it(they) will not be considered during the selection process!

To close it, click on “CLOSE APPLICATION”.

REMEMBER that when you close your application you cannot modify it anymore. Your application will be completely closed.

Your application will not be considered until you close it.

REMEMBER:

-     The application is complete only once you have gone through all of the four steps.

-     All of the applications and documents required must be sent through the online form: they WILL NOT be accepted via email.

-     ATTENTION: During the application process you cannot keep two or more applications open at the same time on your Web browser since this could negatively affect your applications.

-     All the email exchange during the selection process will take place by email. If you do not have an email account, we suggest that you create an account on Gmail.

Important information about your application will be published on the message box of your personal home page. Check that page at least once a week during all the selection procedure period. You can do that from this page.
