Management of the scholarship

The scholarship is managed jointly by SILKROUTE Coordination, Università degli Studi di Padova, and the European Host/Home University. The European University is in charge of the payment of the scholarship and of any issue related to it. The payment of monthly allowances is due only on periods of study/research/work according to the academic calendar of the Host University. The scholarship will be thus handled and paid out by European Host/Home Universities on a regular basis according to internal procedures

- The Bachelor and Master students, and the PhD and Post-Doc grantees selected in the second call for applications must start their mobility before 31/12/2015.

- Staff mobility can take place any time within the project duration: 15.07.2013 - 14.07.2017.

The duration of the stay at the host institution might be longer than the duration of the scholarship, depending on the study programme duration, but by no means the period of payment of the scholarship may exceed the maximum duration of the Project (14.07.2017) nor the date of awarding of the diploma (in case of Full Bachelor, Full Master or Full Doctorate). The number of monthly allowances is calculated according to the start date of the mobility.

All financial matters related to the scholarship are ruled by the Administrative and Financial Handbook of the Erasmus Mundus Programme.

 

The scholarship consists of:

 

Monthly allowance:

The European Host/Home University will pay a monthly allowance whose amount will vary according to the mobility level:

Undergraduate & Master: 1.000 Euro/month
Doctorate (Sandwich & Full): 1.500 Euro/month
Post-doctorate: 1.800 Euro/month
Academic & Administrative Staff: 2.500 Euro/month

 

Insurance (accident, travel, health)

The coordination of SILKROUTE project provides all the grantees with an international insurance policy supplying a complete cover according to the Minimum requirements of Erasmus Mundus Programme. Other national insurances which might be mandatory to obtain the residence permit will be reimbursed/covered by the Project.

 

Travel expenses

The scholarship covers travel costs. Each grantee has right to one return ticket, up to a maximum travel cost of 1.500 € or 2.000 € depending on the distance in Kilometers from the Home University to the Host University for TG1 and from the city of residence and the Host University for TG2 and TG3:

-       from 2.500 to 5.000 Km will correspond to 1.500 Euro;
-       more than 5.000 Km will correspond to 2.000 Euro.

(The maxium amount per each grantee is indicated in the Scholarship letter provided by the Coordination).

This amount will also cover the reimbursement of visa expenses, local transportation to reach the Host University and residence permit application.

Tickets will be generally purchased by European Universities for all their incoming and outgoing grant holders after agreeing the period of stay with Host University. If the University isn’t able to arrange travel tickets in advance, the tickets will be paid by the grantee (or the Coordinator on request).

Travel costs will be reimbursed by the European Host/Home Universities, provided that the grantees fill in the specific Reimbursement form and that they hand in the original documents (invoices, tickets, boarding passes, etc.). In any case, original boarding passes/tickets must be kept and handed in as follows:

-         upon arrival in the Hosting Country: the grantee must hand in the original boarding passes/tickets to the contact person of the project at the Host University who will immediately send a scanned copy to the Coordination in Padova (This email address is being protected from spambots. -         upon return to the Home Country: the grantee must immediately send a scanned copy of his return boarding passes/tickets to the Coordination of the Project in Padova (This email address is being protected from spambots. Tuition fees:

No tuition or registration fees will be directly requested by the Host Universities since Tuition fees for mobilities of Bachelor, Master and PhD of minimum 10 months duration are covered by SILKROUTE project.

A small fee may be charged to cover costs such as library services, student trade unions, laboratory consumable costs, local taxes or similar, on an equal basis as the local students.

 


 

CHECK LIST: Steps you have to follow BEFORE, DURING & AFTER your mobility

 

We recommend that you fulfill the following procedures, do not hesitate to contact us if you have any doubt or question (This email address is being protected from spambots. You need JavaScript enabled to view it.).

 

BEFORE your mobility:

The grantee must:

- print, sign, scan and send the Scholarship Agreement to SILKROUTE Coordination (This email address is being protected from spambots. You need JavaScript enabled to view it.);
- contact your Host University in order to agree the mobility dates and organize your stay;
- apply for a visa;
- collect, fill in and send all the documents requested by the Host University, if any (Degree seeking grantees must comply with the registration requirements/procedure of the Host University);
- fill in and send to SILKROUTE Coordination the scanned Learning Agreement/Academic Agreement (the forms and more info about that can be find here).

 

Upon ARRIVAL at the Host University:

The grantee must meet the contact person of SILKROUTE Project at the Host University in order to:

-       hand in the original boarding passes;
-       register/check-in at the Host University, if necessary;
-       receive information on residence permit or other administrative procedure;
-       receive information on the opening of a bank account in Europe (only for Central Asian grantees), if necessary (Staff might be paid by other means).
 
The Host University is in charge of providing all the practical information and support during the grantee’s mobility (about accommodation, university services, etc.).
During his/her stay, the grantee must comply with the internal rules of the Hosting University.

Each grantee will receive a link from the Coordination of the Project to fill in the 1st part of the Questionnaire on quality of the Project.

 

DURING your mobility:

All the grantees, signing the Scholarship Agreement, committed themselves to hand in the progress and final reports to SILKROUTE Coordination according to the following terms:

 

Degree seeking grantees (Master & PhD mobilities of 2 or 3 years):

Progress report (at the end of each academic year)

Final report (at the end of the scholarship, after getting the diploma and before returning to his/her Home Country)

 

Exchange grantees (Bachelor, Master and Sandwich PhD mobilities of 1 or 2 semesters)

Progress report (at the end of the 1st semester for 2 semesters mobilities)

Final report (at the end of the scholarship, before returning to his/her Home Country)

 

Postdoc & Staff grantees:

Final report (at the end of the scholarship, before returning to his/her Home Country)

 

These documents must be signed by the grantee and by the academic supervisor at the Host University.

END of your mobility:

The grantee must:

- meet the contact person of SILKROUTE project at the Host University;
- send the FINAL REPORT signed to the Coordination of the project by email (This email address is being protected from spambots. You need JavaScript enabled to view it.), or hand it in to the contact person at the Host University;
- send all the mobility results and certificates (Transcript of records, certificates of attendance, letters form the professors/supervisors, etc.) to the Coordination of the project by email;
- send the final version of the Learning Agreement/Academic Agreement, if changes were made, to the Coordination of the project by email;
- UPON RETURN TO THE HOME COUNTRY: the grantee must immediately send a scanned copy of his return boarding passes to the Coordination of the Project in Padova (This email address is being protected from spambots. Furthermore each grantee will receive a link from the Coordination of the Project to fill in the 2nd part of the Questionnaire on quality of the Project.

DEADLINE to send the final documents (Final report, boarding passes, other documents): 20 days after returning to the Country of origin.

Each grantee can ask to their Host University for a SILKROUTE Certificate of stay which will state their mobility period within SILKROUTE project.

 

Follow-up questionnaire on studies recognition (only for BSc, Master and PhD exchange grantees):

As soon as your Home University completed the process of recognition of the study/research activity carried out during the mobility, exchange grantees must immediately fill in and the Form on studies recognition (and any annex available, such as Home Univ. transcripts of records or home supervisor’s letters) to SILKROUTE Coordination (This email address is being protected from spambots. This document must be signed by the Home University.
